Property Manager Posts Utility Bills Automatically
Quick Summary
Hometown Holdings, a Virginia property manager with 2,500 units and fewer than 50 employees, replaced manual entry of utility bills into Rent Manager with a chain of AI agents. About 88% of bills now post with no human touch, saving roughly 4,160 staff hours a year.
The Use Case
Utility bills for 2,500 properties arrived by email from dozens of providers, each in a different format. Accounting staff opened every one, typed the invoice number, service period, amount, due date and vendor into Rent Manager, and attached the PDF. It was slow, error-prone and consumed more than two full-time equivalents of work. Hometown deployed a Nanonets workflow that watches the inbox, extracts the fields, maps each provider to its vendor record and posts the entry through the Rent Manager API, leaving only unmapped vendors and low-confidence extractions for a person.
Real Example
- A utility bill lands in the accounting inbox as a PDF attachment
- An email-monitor agent recognizes it as a bill, identifies the provider and validates the attachment
- An extraction agent captures invoice number, service period, amount due, due date, vendor name and account number, and normalizes the formats
- A vendor-mapping agent matches the provider to its Rent Manager vendor ID; a new provider is flagged once for setup
- An upload agent formats the fields to the API spec, posts the entry, attaches the original PDF for the audit trail and archives the record
- The 12% that fail a check land in a review queue for the accounting analyst
Why It Matters
- About 4,160 hours a year returned to a team of under 50
- 88% of bills post straight through, with the PDF attached for audit
- Roughly $40,000 added to net operating income, per the company
