Cheese Maker Recovers Shipping Overcharges with AI

Quick Summary

Austin-based Rebel Cheese used Claude and Manus to build a tool that checks every carrier invoice against its shipping contract. The system found roughly $250,000 in overcharges after the 2025 holiday season and now recovers $1,500 to $4,000 a week, on about $200 a month in software.

The Use Case

Rebel Cheese ships perishable product direct to consumers and had a record holiday season, but the carrier bills did not line up with the contracted rates. Zone, weight and dimension adjustments were buried across thousands of line items, and checking them by hand would have taken a forensic accountant. CEO Kirsten Maitland, who is not a developer, used AI tools to build a one-page web app that compares each invoice line to the contract and flags anything more than ten cents over the agreed rate. The flagged lines become the evidence for credit claims, every one of which has been approved so far.

Real Example

  1. Maitland set up two CSV templates: one with the contracted zone rates, one with the weekly invoice data
  2. She uploaded a year of invoices, the contract and her notes to Manus and had it write a requirements document first
  3. Manus built a "Carrier Billing Discrepancy Detection Tool" from that document
  4. Each week the new invoice file is uploaded and compared line by line against zones, weights and dimensions
  5. Any charge more than ten cents above contract is flagged with the proof attached
  6. Claude analyzes the flagged data for patterns across shipping zones, and the team files credit claims

Why It Matters

  • About $250,000 in overcharges surfaced from a year of invoices, with $1,500 to $4,000 a week recovered since
  • Every credit claim submitted with the tool's evidence has been approved
  • Total tooling cost is around $200 a month, and the owner built it herself in a few weeks
